Data Import

Overview

The Data Import makes it possible to import your current part, ideal times, and work orders into DataXchange without having to manually enter in each value by hand.

The Data Import interface can be broken down into three different functions.

The Blank Template, which is a downloadable guide so that there is a clear understanding of the data format DataXchange expects when performing the import.

The Populated Template is used to browse and select the Excel Workbook to be uploaded for processing. Once clicked a window will open allowing the user to browse to the location of the completed Data Import worksheet.

*Keep in mind you must save and close the Import template locally before selecting Upload or an error will appear.

The Email Address is a field that is auto populated with the current users email address however it is possible to change the address if needed. The email address is used to notify the user when the import has completed and if there was any issues or errors during this process.

Upload is a field is a button to be selected once a template is completed and ready to be imported.

The Template

The downloaded template has three tabs, PART NUMBERS, IDEAL TIMES, and WORK ORDERS.

The Part Numbers tab has three columns, Part Number**, Description and Overwrite.

The Ideal Times tab has six columns, Equipment Name*, Part Number*, Setup Time (min), Cycle Time (min), Operation Time (PPH) and Overwrite?

The Equipment Name, Part Number, and at least one of the three Ideal Time fields are required.

The Work Orders tab has eleven columns, Work Order*, Description, Part Number*, Start Date*, Due Date, Build Quantity, Operation, Equipment Name, Ideal Time (per Operation), Part Counts Per Cycle, Ideal operation time, and Overwrite?

It is possible to overwrite and update existing information.

**Part number must be imported here or already within the system to be used with the ideal times or work orders tab, otherwise an error will appear.

Once you have started, the import process may take a few moments depending on how much data you are importing. Once completed an email will be sent to the email address specified and a modified version of the template will be included as an attachment. The returned template will have an additional column on the right which will identify any rows that were unsuccessfully imported along with the reason why the information in the row failed. If all of the rows were successful then the Excel file will show that all of the data uploaded successfully. See below for more information on specific errors.

Note: Any blank row within the form will cause the system to stop processing the data.

If an Import is Completed Successfully

If the Data Import is successful an email will be sent to the email address specified when uploaded that includes the original template file with the information regarding the result of processing the worksheet. Below is an example of the email:

If an Error is Found During the Import Process

If there is an error while processing the import, an email will be sent to the user that includes the original template file with the information regarding the result of processing the workbook. Below is an example of the email:

The Scytec DataXchange import encountered one or more problems while being processed. The rows that encountered problems are identified in the attached document.

Error Messages Created for the Import Process (Part Counts)

Example errors that will cause the import to fail
The Scytec DataXchange part number and ideal time template has a wrong format.	The user will get an email and within the body it will show an error message that is generated when the template has a wrong name on the worksheet other than the provided template format.
Part Number Format Failed	A part number did pass the validation for the part number format.
Part Number maximum length is 50 characters	A part number value exceeds 50 characters.
Part Number Description maximum length is 100 characters	A part number description exceeds 100 characters.
Part Number is Required	A part number must be in the system before it can be assigned.
Equipment Name does not exists or is Inactive	The equipment doesn't exist or is inactive.
Equipment Name maximum length is 50 characters	The equipment name exceeds 50 characters.
Equipment Name is Required	The equipment name is empty.
Setup Time has invalid value	The value for setup time is invalid.
Cycle Time has invalid value	The value for cycle time is invalid.

Error Messages Created for the Import Process (Ideal Times)

Example messages
Duplicate Part Number has been skipped	A part number already exists that will be skipped.
Duplicate Ideal Setup Time has been skipped	The ideal time was already found for the equipment and the Overwrite? field was not set to Y.
Duplicate Ideal Cycle Time has been skipped	The Cycle Time was already found for the equipment and the Overwrite? field was not set to Y.
Reached a blank row therefore finished processing	The last line in the import has been processed. (This applies for Part Numbers and Idea Times).

Error Messages Created for the Import Process (Work Orders)

Example errors that will cause the import to fail
Work Order Number does not exists or is closed	The system is unable overwrite a closed or non-existing work order.
Work Order Format Failed	The format is incorrect for the work order field. Specific formats can be specified in Work Order Formats.
Work Order maximum length is 50 characters	The Length of the work order exceeds the maximum amount of characters.
Work Order Description maximum length is 100 characters	The Length of the work order description exceeds the maximum amount of characters.
Work Order is Required	Work Order is a required field.
Start/Stop Date is Required	A date must be entered in the Start/Stop fields.
Start/Stop Date format is Invalid	The format of the date is incorrect. (2/13/2018).
Work Order Operation is Required	An operation must be entered for a work order.
Work Order Operation maximum length is 50 characters	The work order operation characters exceeds the limit of 50 characters.
Start/ Stop Date has an invalid value	The value is outside a normal date range.
Due Date has an invalid value	The value is outside a normal date range.
Build Quantity has an invalid value	A numerical value must be entered.
Part Counts Per Cycle has invalid value	A numerical value must be entered.
Duplicated Work Order has been skipped	Work orders are duplicated on the imported spreadsheet.
Duplicated Operation Work Order has been skipped	The system has not processed the work order due to a duplicate machine and operation.
Work Order Operation Duplicated for multiple equipment	Only one operation can be used per machine.
Work Order(s) encountered a problem and were not processed	General error returned in the body of an email.
Work Order can't switch Part Numbers	Part numbers cannot be changed after an operation has been confirmed by the user.
